We are seeking a professional and vibrant Receptionist to join our internal team based in Cape Town. In this role, you will be the first point of contact for our office—welcoming vendors, coordinating with volunteers, handling incoming telephone inquiries, and providing vital administrative support as we prepare for our annual event footprint.

Key Responsibilities:

  • Front-of-House Coordination: Welcoming visitors, event partners, and volunteers to our Cape Town space with a professional, enthusiastic, and helpful demeanor.

  • Switchboard & Inquiry Management: Answering incoming phone calls, providing accurate foundational information about event schedules, and routing complex vendor or sponsor queries to the correct team members.

  • Volunteer & Participant Support: Assist with guest arrivals, volunteer check-ins, and basic data entry during internal coordination meetings and peak planning weeks.

  • General Office Administration: Maintain the presentation of the front reception area, manage incoming/outgoing courier documents, and handle basic data entry using Excel or Google Sheets.

  • Diary & Schedule Support: Assist the internal team by tracking meeting room bookings and updating the daily calendar for vendor arrivals and logistical alignments.

Requirements & Qualifications:

  • Reception or Front Desk Experience: Proven experience as a Receptionist, Front Desk Agent, or Front-of-House Coordinator (experience within high-volume events, hospitality, or premium customer service is a distinct advantage).

  • Polished Presentation & Demeanor: Exceptional grooming, strong interpersonal skills, and a confident presence fitting for a highly visible public event brand.

  • Professional Communication: Flawless verbal and written English communication skills, with a clear, warm, and professional telephone manner.

  • Basic Tech Literacy: Competence using Microsoft 365 (specifically Outlook and basic Word/Excel) and navigating digital scheduling tools.

  • Location: Must be permanently based in Cape Town for daily on-site office operations.
